Applications
for Employment

The hiring process begins with an Application for Employment. This can be a paper application, online form, or PDF file. A digital version of the application along with the meta data (applicants data filled into the application) are saved to FileBound. This information will be used to fill in fields during the onboarding process and begin the digital employee personnel file.  

New Hire
Onboarding

FileBound’s workflow sends a congratulatory email welcoming the new hire. A checklist of forms that need to be completed is included in the email. Personnel information in the onboarding forms is filled in from information gathered from the application, eliminating the new hire from having to fill in redundant personal information from form to form. The welcome letter and forms are customized to the hiring position. 

Digital Personnel File

The employee personnel file is created and added to during the onboarding process. Documents are organized by group and security limits access to the folder. This file becomes dynamic for that employee with additional documents added as required. 

Termination/Separation

When an employee leaves the organization an offboarding process is triggered through the workflow. Final documents are gathered and saved electronically. The folder status is updated to “Separated” and monitored for destruction using the Records Management Module.
